If you have any questions, just see me in your backyard while I’m working.” Jennifer Carpenter gets started by drilling post holes for each corner of the deck. She assumes that Juan Homeowner has secured a building permit from city hall, because that’s how most of her previous jobs have worked out But there’s no building permit. Carpenter starts framing the deck, she notices that Mr. Homeowner has put a large hose reel against his house and connected it to the faucet. Based on where the deck will sit, the hose reel will have to go. She’s not sure if he will want to move it somewhere else or have his outdoor faucet replumbed to reconnect it and put it on the deck, which is two feet off the ground. She stops building and waits to ask Mr. Homeowner when he gets home But it turns out that he’s on a business trip for three days. When he gets back, Ms. Carpenter reaches him by phone. He’s not happy that his faucet will have to be moved, because it adds unplanned expenses to the project. But that’s not Ms. Carpenter’s fault. She’s not the plumber. She’s just putting the deck where he asked. Once the deck is framed, she starts building a railing for one side. This wasn’t discussed, but she sees that there are small children around the house and thinks this is a good safety measure. Homeowner comes home one day and is happy to see the great progress on his deck, but he notices the railing. Homeowner: “What’s this?” Ms. Carpenter: “I added a railing to the side because you have kids. It’s a good safety feature.” Mr. Homeowner: “I don’t have small children.” Ms. Carpenter: “But I saw them playing in your front yard.” Mr. Homeowner: “Oh, those are the neighborhood kids. My kids are in high school.” Ms. Carpenter: “Well, a railing is still a good feature.” Mr. Homeowner: “Fine, but can you make it shorter and put a bench next to it?” Ms. Carpenter: “I didn’t buy enough wood for a bench, and the railing is already drilled and attached. I’d have to remove and recut it. Also, we didn’t talk about a bench.” Mr. Homeowner: “Well, I’d like a bench here.” Ms. Carpenter: “That will take more time. I won’t be able to get this done by your two-week deadline if we add the bench. Plus, I’d have to charge you for the extra wood.” What began as a simple project has become a series of headaches, all due to a failure to plan. From a Web professional’s perspective, developing a 50-page website for six unique stakeholders is far more complex than building a rectangular deck. A deck is a physical structure built in stages. You can look out the window and see the progress. In contrast, a website has a number of technical and administrative steps that aren’t visible to all. A Caveat, and the “Waterfall” Method of Development When I worked at an insurance company, business analysts from the information technology (IT) department would write project charters: long, painfully boring documents that attempted to outline every possible aspect of a website. I hated these documents and preferred to work by the seat of my pants. My reasoning in part was that websites are flexible, unlike print material. That is, their content can be changed at will. The idea that every aspect of a website could be pre-planned on paper was ludicrous. IT departments that handle large projects often use something called the “waterfall” method of development: specify absolutely everything, down to the point size of the type, the line length of page headers and exactly how a simple photo gallery will work. (Image by ) This is my view of the waterfall method: if you’re building a banking application that transfers money in and out of customer accounts, you’d better be sure your code is perfect. When dealing with debits and credits, there is zero allowance for error. For projects this critical, it makes sense to specify everything you’re going to do in great detail before writing a single line of code. However, as I said, websites are flexible. So how do we reconcile the need for clear and detailed specifications with the inherent flexibility of the medium? We do this by splitting the difference. By following the process I’ve outlined below, we can create a set of content and design specifications that greatly reduce the likelihood of mid-project glitches, while creating a framework that allows the website to grow with time. In fact, we can plan for expansion by allowing, for example, a news section to handle 10 news items or 200. When these specifications are properly implemented in a content management system (CMS), the website will give its editors the flexibility to swap out key photos, change titles and headers, reorder content, etc.—all within the framework established by proper planning. The Value of Planning and Needs Assessment I am frequently approached by prospective clients who want estimates for building their websites. Sometimes they have a general idea of what they want and possibly a simple website map. Others, especially organizations, will submit a request for proposal (RFP). In most cases, none of this gives the designer or developer enough information to generate an accurate proposal. Even a multi-page RFP usually does not have enough detail from which to create a proposal and estimate. If a prospective client just wants a ballpark figure, I can usually do this, but much more information is needed in order to arrive at an accurate cost. Ideally, prospective clients would hire either a designer, developer or project manager to do a thorough needs assessment before requesting a proposal. However, clients don’t necessarily understand the efficiencies gained by up-front assessment. Ten hours spent on a needs assessment can save 30 hours of development time. Discovering the needs of a client halfway through a project is a recipe for headaches, extended development time, cost overruns and missed deadlines. As you’ll read below, failing to recognize and pay for proper planning creates big problems. Common Results of Failing to Plan • The designer or developer is forced to make assumptions, which may or may not be correct, about how certain content will appear on the website. • The amount of back-and-forth communication about trivial matters can be multiplied many times over. • Backtracking causes delays and missed deadlines. • Work that falls outside the original scope of the project creates cost overruns. • Confusion and client dissatisfaction are byproducts of a shoot-from-the-hip process. Needs Assessment Important things to remember: • Unless you’re building an intranet, the website is not for you and must meet the needs of your client. • A website is not an event. It is a flexible, extensible communications tool that reflects, negatively or positively, on the business. Now we could potentially start using business-speak, as in “Assemble your key internal stakeholders.” That’s another way of saying: “Get everyone together who has something valuable to contribute.” Aligning the Website With the Marketing Campaign The website must work in concert with the overall marketing plan. The needs assessment for the website might overlap with the other efforts and approaches of the marketing department, which is fine. This is outside the scope of this article, but note that the established branding and marketing of the business should inform the structure and design of the website. Roles: Who’s Doing What? Every project is different, but these are the typical roles in a sizable Web project: • Internal stakeholders (aka “clients”), who represent all primary aspects of the business; • Project manager; • Copywriter or editor; • Web designer (graphic design, illustration, Web design); • HTML coder (HTML, CSS, JavaScript, Flash); • Web or CMS developer. Keep in mind that one person can play multiple roles. The number of participants does not necessarily bear on the quality of the result. In some cases, a series of one-on-one meetings between company principals and an experienced designer can yield a great website. Determine Website Content Who’s Responsible? As you prepare to add content to the website, think about who will contribute. In a five-person business, it might be just two of you, and that’s fine. In a large business or organization, 5, 10 or 15 people might be contributing content. The time required to edit and proofread both copy and visual content grows exponentially in proportion to the number of people who contribute content. Clear the fronts and distribute clear responsibilities. (Image by ) Content Is Not Just Text Unless you are creating the dullest, most technical website imaginable, your content should consist of more than just plain text. By using one or more of the following multimedia elements, you’ll greatly enhance the appeal and usefulness of the website: • Images; • Documents (usually PDFs); • Audio; • Video (i.e., embedded from YouTube or Vimeo, or self-hosted); • Adobe Flash files; • Content feeds (from other websites, for example); • Photos (from Flickr perhaps); • Twitter stream; • Facebook “friends” list; • RSS feeds. The Value of Good Photography Like other elements of a website, photos communicate the brand of the organization. If you’ve just moved into a beautiful new building or storefront, you may have snapped some pictures of it and your staff on your $150 digital camera. In most instances, unless you have bona fide photography skills, these will not be quality photos. Try to budget for professional photography. You don’t necessarily need a lot of photos, just good ones. Twelve professional images is better than fifty amateur snapshots. If your budget doesn’t allow for a pro, then contact your local art school or community college and ask for a recommendation. A budding student photographer with a good eye will work for cheap in order to build a portfolio. If you have no budget at all, then take the photos yourself, but pay special attention to lighting, framing and focus and hope for the best. In some cases, when generic images will suffice, stock photography can be used. But there is no substitute for quality photos of your staff, storefront, products or services. The Value of Good Writing Good writing, like good photography, requires a skill that not everyone possesses. Writing for the Web is different than writing memos, policy papers and technical documents. You might write great technical manuals for precision machining tools, but that doesn’t mean you can write well for the Web. If your organization doesn’t have someone who can write clear and concise marketing copy, hire an expert. If you can write reasonably well but need some guidance, consider hiring an editor to polish your output. Quick Writing Tips Consider your audience and write accordingly. Try to see the business from the customer’s perspective. What do they care about? Avoid business-speak, confusing acronyms and dry details. Your customers do not work at your shop, office or widget factory; they are the ones purchasing your products or services. Speak to them accordingly. When appropriate, write in generalities, and save the hardcore details for multi-page PDFs (as downloads). This approach is especially useful for product information, white papers and copy that approaches or exceeds 1000 words. Here is a useful approach when writing for the Web: • Write your first draft, • Cut it in half, • Cut it in half again, • Add bulleted and numbered lists where possible, • Send it to the editor. Reading on a screen is fatiguing. A screen, whether a massive 26-inch monitor or a diminutive smartphone, projects tiny points of light at your eyes. Consequently, reading long stretches of text on it can be very tiring. Users will scan for key points in the text, so short blocks of copy and bulleted or numbered lists are helpful because they’re easy to spot. Don’t style the content. Most writers prefer to work in Microsoft Word or a similar program. This is fine, but Word is notorious for outputting messy code. Don’t worry about colors, fonts and alignment. Just write well. Style will be applied later at the level of each Web page. Determine Your Website’s Structure Here are the key elements in planning a website’s structure. Site Map Your site map could be structured like a flow chart and built with software such as Visio or a free tool like Gliffy. Alternatively, you could create an outline with bulleted lists and indentations that indicate pages, sub-pages and other structural breaks. Content Definition Some content will be easy to define. A contact page, for example, is generally expected to include a business name, a location, contact information, hours (if applicable) and, often, a simple form. Other types of content require more consideration. This is another point when failing to carefully define the content will create headaches for you later on. Structure your content. (Image by ) Perhaps you want to put a photo gallery on your website. Good idea, but what exactly will the gallery consist of? Will it be 20 images in a grid of thumbnails with a nice pop-up overlay when you click on one? Or a multi-page gallery with 1000 photos, individually categorized and tracked with meta data? Should users be able to rate the images? Comment on them? Download high-resolution versions? Email them to friends? This is but one example of why defining each type of content is so important. If you don’t, then the developer will make their best guess as to what each type of content should be. Content elements like an event calendar, staff directory or blog might provide a general frame of reference, but they require clear direction: what exactly do they need to accomplish, and how will they be used? One way to help define content is to simply observe the functionality of other websites and see what might suit your purpose. Content Checklist Here is a list (though not exhaustive) of common types of content. A sitemap is a tool that can be used to visualize the structure of a website. While it lists the web pages or the content of a website, it helps you identify the information your website should consist of, remove redundant or duplicate content and make sure it has easy navigation and is user-friendly. These include incorporating external files, handling forms and form data in new ways, writing and using your own functions, using PHP's date() function, and sending email. What all of these concepts have in common is that more sophisticated Web applications almost always use them. Including Multiple Files To this point, every script in the book has consisted of a single file that contains all of the required HTML and PHP code. But as you develop more complex Web sites, you'll see that this methodology has many limitations. PHP can readily make use of external files, a capability that allows you to divide your scripts into their distinct parts. Frequently you will use external files to extract your HTML from your PHP or to separate out commonly used processes. PHP has four functions for using external files: include(), include_once(), require(), and require_once(). To use them, your PHP script would have a line like include_once('filename.php'); require('/path/to/filename.html'); Using any one of these functions has the end result of taking all the content of the included file and dropping it in the parent script (the one calling the function) at that juncture. An important attribute of included files is that PHP will treat the included code as HTML (i.e., send it directly to the browser) unless it contains code within the PHP tags. Previous versions of PHP had a different distinction between when you'd use include() and when you'd use require().Now the functions are exactly the same when working properly but behave differently when they fail. If an include() function doesn't work (it cannot include the file for some reason), a warning will be printed to the Web browser ( ), but the script will continue to run. If require() fails, an error is printed and the script is halted ( ). The first failure of a require() function will print an error and terminate the execution of the script. Both functions also have a *_once() version, which guarantees that the file in question is included only once regardless of how many times a script may (presumably inadvertently) attempt to include it. Some programmers like to use.inc to indicate that a file is used as an include. In this case, you could also use.inc.html, which would indicate that it's both an include and an HTML file (to distinguish it from includes full of PHP code). • Copy everything in the original template from the end of the page-specific content to the end of the page and paste it in a new file ( ). © Copyright 2005 by Larry E. When laying out your site, there are three considerations: • Ease of maintenance • Security • Ease of user navigation Using external files for holding standard procedures (i.e., PHP code), CSS, JavaScript, and the HTML design will greatly improve the ease of maintaining your site because commonly edited code is placed in one central location. I'll frequently make an includes or templates directory to store these files apart from the main scripts. I recommend using the.inc or.html file extension for documents where security is not an issue (such as HTML templates) and.php for those that contain more sensitive data (such as database access information). You can also use both.inc and.html or.php so that a file is clearly indicated as an include of a certain type: functions.inc.php or header.inc.html. Finally, try to structure your sites so that they are easy for your users to navigate, both by clicking links and by manually typing a URL. Try to avoid creating too many nested folders or using hard-to-type directory names and filenames containing upper- and lowercase letters and all manner of punctuation. This information could be sent to the browser using echo(), but since there's no dynamic content here, it'll be easier and more efficient to exit the PHP tags temporarily. • Create a final PHP section and include the footer file. • Save the file as index.php and upload to your Web server. • Create an includes directory in the same folder as index.php. Then place header.html, footer.html, and layout.ccs (downloaded from ), into this includes directory. • Test the template system by going to the index.php page in your Web browser ( ). TIPs • In the php.ini file, you can adjust the include_path setting, which dictates where PHP is and is not allowed to retrieve included files. • As you'll see in Chapter 7, 'Using PHP with MySQL,' any included file that contains sensitive information (like database access) should be stored outside of the Web document directory. • As a best practice, use the./ filename syntax when referring to files within the same directory as the parent (including) file, as I've done here. A file stored in a directory above the parent file would be included using the path./ filename, and a file stored in a directory below the parent file would use./ directory / filename. • You can include your files using relative paths—as I have here—or absolute paths: include ('/path/to/filename'); • Since require() has more impact on a script when it fails, I recommend using it for mission-critical includes (like those that connect to a database) and use include() for cosmetic ones. The *_once() versions provide for nice redundancy checking in complex applications, but they may be unnecessary in simple sites. • Because of the way CSS works, if you don't use the CSS file or if the browser doesn't read the CSS, the generated result is still functional, just not aesthetically as pleasing (see ). In fact, it's recommended that you use a template if you're creating a site with more than just a few pages. You can create a template that contains your logo, site navigation, and styles for the colors and fonts so that you don't have to recreate each aspect every time you create a new page. Creating Templates It's just as easy to create a template page in Dreamweaver as it is to create a new page. You can create an HTML template page by using the New Document dialogue box. In addition, you can save any page you've already created as a template by going to File> Save As, then saving the file in the Templates folder. Dreamweaver templates are saved with the file extension.dwt. They must be saved in a folder named Templates at the root level of the site. Don't worry though. When you create your first template, Dreamweaver creates a Templates folder for you and stores your templates in the folder. To create a template, go to File> New. You'll now see the New Document dialogue box. Click Blank Template on the left. In the Template Type list, choose HTML template. Choose in the Layout area to create a blank page. You can also select a predesigned CSS layout. Next, click the Create button. Go to File>Save. NOTE TO CC USERS: The steps to create a template page in Dreamweaver CC are slightly different. Go to File>New. Select Blank Page. Choose HTML Template in the Page Type list. Choose a layout in the Layout area. Click the Create button. Go to File>Save. Now you can create a design for your page by adding images, text, as well as other elements. Setting Editable and Uneditable Regions When you save a document as a template, you can also specify editable and uneditable regions. An uneditable region is a locked region. This means that changes must be made in the original template and cannot be changed in the page itself. Editable regions contain content that is editable in the specific pages. The table below shows the differences in Editable and Uneditable (locked) regions of a page to help you better understand it. Editable Uneditable (Locked) Content in editable regions will only be added to a new page as it's created. Content in locked regions will be updated to all HTML pages using this template, not just the unique website open in Dreamweaver. When updated, locked regions will be changed, but editable regions will not. When updated, all pages using this template will show changes made to the locked region. By default, all areas of the template are uneditable when you create the template. This means when you open the template to use it, you won't be able to edit any part of the template. It's like it's locked. To create an editable region, select any text block, image, or content area. Go to Insert>Template Objects>Editable Region. NOTE TO CC USERS: IN CC, go to Insert>Template>Editable Region. Give the editable region a name, then click OK. When you're finished designing the page and have specified your editable regions, save your file. The Dreamweaver Library A library is a Dreamweaver file that contains all the assets (files, images, etc.) that you put in your document and on your web page. These assets are called library items. What makes the library so convenient is that when you edit one asset in the library, you can automatically update all the pages that contain that asset. Your library items are stored in your library within the local root folder for each site that you create. This means that each site you create in Dreamweaver has its own library. Library items can be created from any aspect or element in the body of a document. This includes text, forms, tables, applets, plug-ins, navigation bars, images, etc. Creating Library Items You must create library items in order for them to be stored in the library. To do so, go to the library by going to the Assets panel (Window>Assets). Then select the item that you want to appear in the library and drag it to the library category. You can also click the New Library Item at the bottom of the panel. Insert a Library Item into a Document Whenever you use a library item in your document, Dreamweaver inserts a link to it in the web page. To make that easier to understand, Dreamweaver inserts the HTML source code for the item into the document, then adds a comment that contains a reference to the original item. This is why it is possible to update all instances of the library item. To insert a library item into your document: • Click in the document to create an insertion point. • Click the Library icon in the Assets panel. • Select the library item, then click Insert. Edit a Library Item Remember that when you update a library item, you can also update all instances of it within your document. To edit a library item: Go to the Library category in the Assets panel. Select the library item that you want to edit. Double click the library item. At this point, a new window will open. Complete your edits. Your edits will appear as inline style. When you're finished, save the file. You'll then be asked if you want to update all instances of the library item in your documents. The Assets Panel You use the Assets panel to manage and view your assets within a current site. The panel only shows assets associated with the active document. You can view your assets in two different ways. Site List shows all assets on your site. This includes colors and URLs. The Favorites List only shows assets that you've selected. Use the radio buttons to switch between these two different views. Assets fall into one of the categories listed below. You can click on the category to view all assets within it. The asset icons appear vertically down the left side of the Assets panel. These include GIF, JPEG, and PNG. Colors. This includes all colors used in your documents and style sheets. It includes the colors of the text, backgrounds, and links. Interested in learning more? Why not take an? URLs. Links in your documents linking to outside sources. These links include FTP, gopher, HTTP, HTTPS, JavaScript, email, and local file links. All Flash files in SWF. Shockwave. Adobe Shockwave files. Movies. These include QuickTime or MPEG files. Scripts. This applies only to JavaScript or VBScript files. HTML files do not appear anywhere in the Assets panel. Templates. Templates include page layouts that are used on multiple pages. Library Items. These are aspects of your site that you use on multiple pages. Use Tracing to Design Website Pages You can also use another website or graphic to create your web page. When you do this, you will trace the other design, placing yours on top of it. This can make creating a design you want easier. To do this, start a new HTML page. Click on Page Properties in the Property Inspector and go to the Tracing Image category. Find the file on your computer that you want to trace, then set the transparency, or how dark it will appear on your page. You're going to want it to appear lighter, almost like the tracing paper you used when you were a kid. Try setting yours at 50% or lower. Then, you can just trace over the image. When you're tracing a website layout, set all margins and padding to zero so the images line up completely. When you're finished, remove the tracer image. Tracer Images for Text There may be times you want to write text over an image. You can also use the tracing images feature for that as well. Select your picture. You'll want a darker transparency for this. Click OK and your image will appear in your document. Now you can type text over it. Just a few years ago, you used tables to design web pages. You can still do that if you don't want to use CSS. However, tables are now used in web design to include spreadsheet information and things of that nature. In this article, we're going to cover how to add a table to your document. Creating a Table To create a table in your HTML document, first click on the place in the document where you want to insert the table. We're going to insert one at the top of the document. As you can see below, we are in Design View. Go to Insert> Table. In this dialogue box, we're going to enter the attributes for our first table. • We want to make this table 3 rows in width, so we'll enter 3. • We're going to enter a 3 for the number of columns. Columns run vertical on the page. • For the Table Width, we're going to enter 200. We want this to be measured in pixels, so we'll select Pixels from the pop up menu. • Enter 1 for Border Thickness. 1 is a thin border. If we wanted thicker, we'd enter a higher number. • Enter 0 in the Cell Padding box. Cell padding adds white space within a cell, with equal white space on top, bottom, left, and right. • Enter 0 for Cell Spacing. This is the space between cells. We don't want a header, so we'll leave that on None. If we wanted, we could add a caption and a summary of the table's contents. However, for this article, leave those blank. You can now see the table in our document. You can drag on the border of any row or column to resize it. If you look at the table, you'll see the table width in the Table selector, which is indicated by green lines. This appears when the table is selected or when an insertion point is in the table. Look next to the widths. These are arrows for the table header menu and the column header menus. These menus can be used for quick access to table commands. To disable or enable the widths and menu displays, go to View> Visual Aids> Table Widths. Click to the right of the table (outside of the table) to deselect it. Adding Text to a Table To add text to a table, click within the cell where you want to add text. Start typing. Formatting Cells within a Table You can format the cells within the table just as you can format the table (as you'll learn to do in just a minute). To format cells, click within a cell, then go to the Property Inspector. Use Horz and Vert to position text within the cell. Using the Horz field, you can position it left, center, and right. Using the Vert field, you can position it top, middle, bottom, and baseline. Enter a width for the cell in the W field. Enter a height for the cell in the H field. In the Bg field, you can set a background color for the cell. Now we're going to set the properties for our tables. Make sure the table is selected in order for you to be able to do this. Go to the Properties Inspector, pictured below. The Properties Inspector allows us to edit the table properties. As you can see in the snapshot above, the Table Property Inspector allows you to customize the following attributes: • ID • Rows and columns • Width • Cell padding and cell spacing • Alignment • Border • CSS Class • Clear Column Widths or Heights • Convert Table Widths to Pixels • Convert Table Widths to Percent (of page) • Source Placing Images and Graphics into Tables To insert an image or graphic into a table, first click the cell where you want to add the image or graphic.
